C.L.E.A.R - PAYMENT & CANCELLATION POLICY 2027
No one books a retreat with the intention of cancelling it, but unexpected events do occur, so please consider purchasing travel insurance, and understand that it is your responsibility to read and understand our cancellation policies.
The C.L.E.A.R. Retreat is limited to a small number of attendees, to allow for a more personable, intimate experience. Our cancellation policy is in place to help guests and us alike work together, sharing any expenses that may arise from unexpected cancellations.
Payment and Cancellation Policy for Individuals
Reservation and Deposit To secure a spot for the retreat, participants are required to pay a deposit amounting to 20% of the total retreat cost. All payments made toward the C.L.E.A.R. Retreat, including this deposit, are non-refundable.
Second Payment Participants must make the second payment, accounting for 30% of the total retreat cost, before October 10, 2026.
Final Payment The remaining balance of 50% of the total retreat cost must be paid before November 10, 2026, ahead of the retreat's start on January 27, 2027.
Failure to make payments by the specified dates may result in the cancellation of the participant's reservation. A reservation cancelled for missed payment is treated the same as a participant-initiated cancellation (see below) — the amounts already paid are not refunded, and the participant retains the option to transfer their spot as described below.
Confirmation for Air Travel Participants are advised not to purchase airplane tickets until Breathtaking Retreats confirms the retreat is proceeding. All participants are required to have insurance coverage for flight cancellations, delays, missed connections, and other travel disruptions.
If a participant is unable to reach the retreat due to circumstances affecting their individual travel — for example, a flight cancellation caused by weather at their departure airport — this is not treated as a cancellation by Breathtaking Retreats, even if the disruption is outside the participant's control. The retreat proceeds as planned for all other participants, and payments made by the affected participant are non-refundable. This is precisely the kind of risk that mandatory travel insurance is intended to cover.
Cancellation by Participants If a participant chooses to cancel their reservation, amounts already paid will not be refunded. Cancelling ends the participant's obligation to make any future installment(s) not yet due at the time of cancellation.
Participants may transfer their spot to someone they personally introduce to Breathtaking Retreats via email, provided the transfer is confirmed before the final payment deadline above. Breathtaking Retreats reserves the right to approve the incoming participant.
Cancellation by Breathtaking Retreats In the event that Breathtaking Retreats decides to cancel the retreat, participants will be fully refunded.
Changes to Retreat Schedule Breathtaking Retreats reserves the right to make changes to the retreat schedule, including dates, activities, and accommodations. Participants will be promptly notified of any significant changes and provided with suitable alternatives.
Mandatory Travel and Medical Insurance
All participants are required to obtain and maintain comprehensive travel and medical insurance for the duration of the retreat. Coverage must include medical expenses abroad, emergency evacuation and repatriation, trip cancellation or interruption, and flight-related disruptions. Proof of valid insurance may be requested by Breathtaking Retreats prior to the retreat. Participants who fail to obtain adequate insurance coverage do so at their own risk and may be denied participation without refund.
Exceptional Circumstances and Disputes
This policy has been carefully considered and put together with intention. Organizing the C.L.E.A.R. Retreat involves firm financial commitments on our part — to the retreat center, to our collaborators, and to the other elements that make the retreat possible — many of which must be made and paid for well in advance and cannot be adjusted once set. For this reason, all payments made toward the C.L.E.A.R. Retreat are non-refundable, as outlined above.
That said, we understand that truly exceptional circumstances can arise. Any request for special consideration should be submitted in writing to Breathtaking Retreats. We will review each request individually, but any accommodation we're able to offer must fall within the financial commitments described above, and must not affect the quality of the retreat or the experience of other participants. Submitting a request does not guarantee any exception will be made.
Any disputes regarding this policy or other matters shall be resolved in accordance with the laws of the jurisdiction where Breathtaking Retreats is located.
Please note that this policy is subject to change at the discretion of Breathtaking Retreats. It is the participant's responsibility to review the policy and ensure compliance with the specified payment deadlines.
